NOOOOO!!! CAX $87 group rate sold out!!!

I worked in hotels for twelve years. Just call the hotel and ask to talk to the sales manager, unless the hotel itself is already sold out you should be able to book the group rate no problem.

If for some reason they won't let you book the group rate, but the hotel isn't sold out then just make your reservation with the overnight clerk and bring up the group rate at check in (I told the kid I was with the CA Extreme group). You want to use the overnight clerk because those guys ONLY work the overnight shift (so they won't be there when you are checking in) and the turnover among them is really high.

Do you think more will open up or am I just screwed? I'm not gonna stay somewhere else.

At this point the Hyatt is no longer accepting reservations for Friday and Saturday as our block is filled. A few rooms may be able to be booked as cancellations come through (first-come, first-serve – keep checking with the hotel), but at a higher rate. More rooms may open up later at the group rate – if so, we will post this on the website. If you book a room at the higher rate and a block of rooms under our group opens up, you can change to the group rate. There are rooms still available at the group rate on Thursday, Sunday, and Monday.

As an option, we have gotten a block of rooms at the Avatar Hotel about a mile away from the Convention Center for $75 per night. The Avatar has a free shuttle which will take you to the convention center and back. To reserve a room, call the hotel directly at 408-235-8900 and refer to "California Extreme." If your stay includes Thursday, Sunday and/or Monday, you might consider staying at the Hyatt those days and using the Avatar for Friday and Saturday. Also, to check for cancellations at the Hyatt, please call them at (888) 421-1442 as the rooms will not appear in the online system linked to the website.

That's a bummer. Hope some rooms open up. I hadn't made my reservations yet.
 
Further note, this looks like a case of CAX's block of hotel rooms at the discounted rate having filled up. I would guess that they will now try to negotiate with the hotel to add rooms to the block ... if any are available.

It says that they have rooms available for the Friday & Saturday nights of CAX... at $159 per night for a room with one King-size bed. (instead of the discounted CAX rate of $87) Rooms with two beds come up as sold out.
(Price and availability come up the same when I check through Expedia.)
 
Day late... dollar short. Glad I picked my room up early. Unfortunately it's a single KING but I digress. Perhaps I should sub-lease floor space out?
 
The Jehovah's Witness are at the convention center again this year which may be part of why it's sold out so early.
 
Yes, the hotel does appear to be full up for Saturday at this point...and yes, the Jehovah's Witness convention has been a factor. We would definitely have preferred another date that did not coincide with their shindig, but we had no other choices for this year :( .

On the plus side, the Avatar is also a very nice hotel...on par with Hyatt to be sure. And the free shuttle should help a lot for those who won't have their own transportation.

Rooms at the Hyatt are still available for Thursday before the show and on Sunday night for those who want to at least grab a room for those nights.

It's going to be another great show to be sure...I just got a commitment for a couple of nice truckloads of games including some rare stuff and some surprises that one exhibitor wants to keep secret until the show :) .

Should be interesting to see what he's got...

Thanks for the info on the Avatar hotel. I just booked there on Monday (05/07/12) at $109 per night for a (2) double bed room. I mentioned I was going for CAX, but maybe this just happened?

I will call right now and see....

Oh, by the way - any of you out there that are bringing families, with a wife not interested in CAX (like mine :( ). The Avatar Hotel is pet friendly so if you wife wants to bring her little angel puppy (quiet, not yappy), this can help make for a better 'family' trip....:)

.....Bumping this again for those looking to get the special rate rooms.

I called about seeing if they can honor the CAX special on my room, but they said it only applies to the single King bed room rate. When I called originally they had a special 20% discount online which they accidentally still had online (expired April 30th), but they most likely will honor that price for the rate on my room.

They also said...

Last night, I went ahead and booked a room at the Hilton that's just across the street from the CAX Hyatt and convention center. $103 (+ tax) per night for a room with a king bed.

It was a pay-in-advance, nonrefundable reservation, so I'm definitely going to CAX now! Now, I get to start watching air fare.

I certainly would have preferred to be in the Hyatt, but didn't want to take a chance on rooms opening up.

It seemed like you waited a lot longer to pull the trigger on a date for the show this year and would certainly be a factor as well. I travel for business and knowing that date sooner is a big help. I do like it when you have the show closer to the beginning of July. Hopefully next year the date will be determined sooner and you will have a better choice of dates and more discounted rooms available.

That said, I'm looking forward to another great show.

While I don't deal directly with this aspect of the show, trust me when I say that we would very much have preferred to announce sooner.

Without going into the specifics, there were some issues beyond our control and even beyond that of the hotel that cropped up that delayed us from nailing the dates sooner, and forced us to choose the later July date.

I also am hopeful we can work all of this out sooner for next year...We are always trying our best :) .

On the plus side, CAX sold out the hotel! The event this year is going to be huge. I know that I'm looking forward to attending. Can't wait to meet everyone in person and check out your games.
 
Considering the venue itself isn't any bigger... and the crowd was insane last year... I am guessing I'll be doing 90% of my gaming at 11PM... ;)

YEAH!!!! I'm with you on that DRUNK idea! I need a drink just thinking about my hotel arrangements.

I look forward to this all year and I got F***ed and only got Sunday at the Hyatt, Saturday at the Hilton and would you believe, Friday at a different place! Yeah, dont ask.

Hilton for me. Its not too much more and it is across the street.

Just set me stumbling in the right direction Saturday night and I should find it OK.
